Refund & Cancellation Policy
Policy Overview Medical Bill Forensics LLC provides a professional, labor-intensive forensic product. Because our reports are generated based on a technical review of the data provided at the time of purchase, we adhere to the following financial policies:
Service Completion A forensic audit is considered “fully performed” once the final report is delivered to the patient’s secure portal. At this stage, the transaction is final and non-refundable.
No Contingency or Guarantee Fees are paid for the production of the forensic audit itself. Medical Bill Forensics LLC does not work on a contingency basis. We do not guarantee that a hospital or insurance carrier will reduce a balance or accept our findings. Our fee is for the forensic identification of discrepancies, regardless of the billing entity’s subsequent response.
Data Quality Issues If an uploaded bill is illegible, incomplete, or missing essential pages, we will notify the user and allow one (1) re-upload attempt at no additional cost. If the user fails to provide a legible “certified itemized statement” within [X] days, the order will be canceled, and a [X]% administrative processing fee will be retained.
Cancellation Prior to Delivery Orders may be canceled for a full refund only if the audit process has not yet begun. Once the forensic auditor has initiated the review of the document, only a partial refund may be issued at the firm’s discretion.

Accuracy of the Framework Our audits are based on the Common Coding Framework (CMS, AMA, and NUBC standards) as they exist on the date the report is generated. Because these governing bodies update coding edits and billing rules frequently, the findings represent a “snapshot” of compliance at the time of the audit.
Limitation of Liability Medical Bill Forensics LLC is not responsible for any actions taken by third parties—including hospitals, doctors, insurance companies, or debt collection agencies—following the presentation of our report. We do not guarantee that a hospital will halt collection activity or adjust a balance based on our findings. To the maximum extent permitted by law, Medical Bill Forensics LLC’s total liability for any claim arising out of our services shall not exceed the total amount paid by the user for the specific audit in question.

No Institutional Affiliation We are not a “Covered Entity” under HIPAA, but rather a Business Associate to the patient. We are not owned by, operated by, or affiliated with any hospital, physician group, or healthcare system.
No Insurance Influence We do not accept funding, commissions, or “kickbacks” from any health insurance carrier or third-party payer. Our loyalty is strictly to the accuracy of the Common Coding Framework.
Neutral Third-Party Status We do not receive incentives for the “amount saved” in any audit. Our auditors are paid a flat rate to ensure they remain neutral and focused on the structural integrity of the bill, rather than a specific financial outcome.
Transparency of Methodology Our methodology is derived from public standards (CMS, AMA, NUBC). We do not use “secret” or “proprietary” algorithms that cannot be substantiated by national billing conventions.
